Who we are
Information we collect
We collect information in the following categories:
Information you provide directly
- Name, company name, job title
- Business email address and phone number
- Account registration details
- Requests submitted via forms (e.g. demos, onboarding, support)
- Communications with Telroi (emails, calls, tickets)
Technical and usage information
- IP address, browser type, device identifiers
- Log data, timestamps, API usage metrics
- Platform interaction data (routes, sessions, errors, performance metrics)
Customer and call metadata (service data)
When you use Telroi's voice services, we may process call timestamps and duration, routing metadata and quality metrics, and CLI information and signaling data.
Important: Telroi does not monitor, listen to, or analyze call content unless explicitly enabled by the customer (e.g., call recording or analytics features).
How we use information
We use collected information to:
- Provide, operate, and maintain our Services
- Provision voice infrastructure and route voice traffic
- Optimize call quality, latency, and delivery
- Detect fraud, artificial traffic, and abuse
- Comply with telecom regulations and lawful requests
- Communicate with customers and prospects
- Improve platform performance and reliability
- Meet legal, contractual, and regulatory obligations
Legal basis for processing
Where applicable, we process personal data under one or more of the following legal bases:

- Consent (where explicitly obtained)
Data sharing and disclosure
We may share information with:
- Telecom carriers and interconnect partners (to deliver voice services)
- Cloud and infrastructure providers (hosting, monitoring, security)
- Regulators and law enforcement when legally required

We do not sell personal data.
International data transfers
Telroi operates globally. Your information may be transferred to and processed in countries outside your country of residence. Where required, we implement appropriate safeguards to protect transferred data in accordance with applicable laws.
Call recording and transcription
The platform can record and transcribe calls where a customer enables it. Where recording is enabled, Telroi processes the recording, any transcript and any AI-generated summary as a processor acting on that customer’s instructions. The customer is the controller and decides whether recording happens at all.
Recording law differs by jurisdiction. Some require notice to one party, others the consent of every party on the call. The customer operating the number is responsible for giving lawful notice, capturing consent where it is required, and honouring any objection. Telroi provides announcement and consent-capture features but does not decide when they are used.
- Recordings are encrypted in transit and at rest.
- Access is limited to the customer’s authorised users and to Telroi staff acting on a support request or a legal obligation, with that access logged.
- Retention is set by the customer, subject to any minimum a regulator imposes on the customer’s own sector.
- Recordings are deleted on the customer’s instruction, or on account closure in line with the periods below.
- Recordings and transcripts are not used to train Telroi models, and are not shared with an AI provider except to the extent needed to deliver the feature the customer has enabled.
If you were a party to a recorded call and want a copy, deletion or an explanation of why it was recorded, contact the business that called you — they control the recording. We will support them in responding, and you may also contact us at [email protected].
Compliance and indemnity records
Where a number is provisioned for a sensitive call category, we require an executed Number Use Indemnity before enabling it, as set out in our Terms of use. That executed document, together with the identity and authority evidence supporting it, is stored as part of our compliance record.
These records are held for the life of the number and for seven (7) years after it is released. We keep them because a carrier, a regulator or a court may require us to show who was responsible for traffic on a given number and on what basis it was authorised. They are held on the legal bases of legal obligation and legitimate interest, and are not used for marketing.
The signatory receives a copy on execution and may request a further copy at any time. Because these records exist to meet a legal obligation, a request to erase them may be refused for as long as that obligation applies.
Data retention
We retain information only for as long as necessary to:
- Provide our Services
- Meet regulatory and contractual obligations
- Resolve disputes and enforce agreements
Retention periods vary depending on data type, jurisdiction, and use case.
Security measures
We implement industry-standard technical and organizational measures to protect data, including:
- Access controls and authentication
- Network monitoring and encryption
- Secure infrastructure and logging
- Regular security reviews
Despite these measures, no system is completely secure, and we cannot guarantee absolute security.
